Email Verification: Protecting Your Domain Before and During Send
A hard bounce isn't just a failed delivery. It's a signal to Gmail and Outlook that your list is low quality — and those signals accumulate against your sending domain, affecting every campaign you run, not just the one with the bad list.
Email verification on SendState isn't a separate tool or an add-on. It's built into the deliverability protection system and runs in two phases: validation before send and real-time monitoring during send.

Phase 1 — Validation Checks at Upload
When a list is imported, SendState runs a series of checks on each address:
Syntax and domain check
Confirms the address is formatted correctly and that the domain exists with active mail exchange records. Addresses on domains with no MX records are treated as undeliverable — they will always bounce, no matter what's in the email.
Mailbox check
Where possible, verifies that the specific mailbox exists on the server. Not every mail server allows this check, but when it does, it's the most reliable indicator of whether an address is actually deliverable.
Role address detection
Flags generic role addresses: info@, contact@, support@, hello@. These addresses typically sit behind shared inboxes, have low engagement rates, and generate higher complaint rates for cold outreach. They're not invalid — but they're worth flagging before you send.
Disposable email detection
Identifies addresses on known disposable email domains. These rarely represent real decision-makers and typically produce poor campaign metrics.
Phase 2
Real-Time Bounce Monitoring During Send
Validation catches the obvious problems. It doesn't catch everything. SendState monitors bounce rate per mailbox and per campaign in real time during the send itself.
Early send catch
If the first ~50 sends from a new campaign hit a bounce rate above your configured threshold, the campaign pauses automatically. The rest of the list doesn't go out. You review, clean, and resume — rather than discovering the problem after 500 sends have damaged your domain.
Hard bounce removal
Hard bounces trigger automatic prospect removal. The same address won't count against your domain twice — it's removed from future sends immediately when it bounces.
Configurable thresholds
Bounce rate thresholds are configurable: below 2% is healthy sending, 2–5% triggers a warning, above 5% means active reputation damage is accumulating, above 10% puts the domain in blacklist risk territory. Sending is throttled or paused before you cross from warning into damage.
Why This Combination Matters
Validation alone isn't enough because some bad addresses pass validation. Real-time monitoring alone isn't enough because by the time you have enough data to react, you may have already sent enough bad emails to affect domain reputation.
The combination — validation at upload to catch the obvious problems, real-time monitoring during send to catch what validation missed — keeps domain reputation intact even when a list has quality issues that weren't visible at import.
Frequently Asked Questions
Email verification checks whether addresses are valid and deliverable before you send to them. On SendState this includes syntax and domain checks, mailbox existence checks where possible, and flagging of role addresses and disposable domains. It runs at list upload as the first layer of protection.
Yes. SendState monitors bounce rate per mailbox and per campaign in real time. If the first ~50 sends from a campaign hit a bounce rate above your configured threshold, the campaign pauses automatically. You can review, clean the list, and resume. Hard bounces also trigger automatic prospect removal so the same address doesn't count against your domain again.
Below 2% is healthy. Between 2–5% is warning territory where reputation impact begins. Above 5% means active deliverability damage is accumulating. Above 10% puts the domain at blacklist risk. SendState's configurable thresholds throttle or pause sending before you cross from warning into damage.
No. Email verification and real-time bounce monitoring are part of SendState's deliverability protection system, included in every plan. There's no separate tool to connect or extra fee to pay.
